Scan each parcel as it comes in — a connected scanner fills the tracking number for you — and note the recipient or department and the shelf it goes on. Anything that does not match a recipient is flagged before you send the notices, not after. Each notice carries a link where the recipient can see where their parcel is.

Delivery

At the window, or at their desk

Release a parcel at the window with the recipient’s signature. Or build a delivery route from everything still waiting, grouped by shelf, and run it from a phone: each stop takes a signature, or a note such as “left with reception”. A route delivery writes the same custody record as a hand-off at the window.

Charge it back, and check the bill

Set up each department as a cost center with a monthly budget and a manager. Your team records handling, postage, shipping and storage charges against it, and closing the month sends the manager a statement. Keep a postage ledger, then import the carrier’s statement and reconcile it line by line: what matches, what is missing, what differs, and anything billed twice.

What mailroom managers ask first

We are not a retail store. Is this for us?
Yes. A mailroom account is set up for receiving, logging and routing inbound mail and parcels for a building or campus, with the retail counter left out of the way.
Can recipients see where their parcel is?
Each arrival notice carries a link to that parcel’s status and its chain of custody, along with the recipient’s other parcels that were waiting when the notice went out.
How are departments charged?
Your team records each charge — handling, postage, shipping or storage — against a department, and each one posts to your general ledger. Closing the month bundles a department’s open charges into a statement and emails it to that department’s manager.
How do I pay for shipping labels?
From a prepaid wallet on your account. Pack and Kin Studio fronts each label at purchase and takes it from that balance, which also means a label cannot be bought against an empty wallet. Funding it is the one setup step between your first sign-in and your first label.
Which carriers can I ship with?
USPS, UPS and FedEx: rating, label purchase, voids, return labels and claims on all three. We would rather name three carriers that work than a longer list that does not.
Is it really free?
The plan is. You pay for the labels you buy, any add-on pack you deliberately switch on, storage beyond the free 1 GB, and a fee when you top up your shipping wallet, shown before you confirm it. There is no card to enter to apply, and nothing expires.
